About the Role

A terrific entry level role for graduate wanting a career in Government.  This role provides a range of enabling communication support activities including reporting, streamlining team processes, as well as administrative & secretariat services that support the efficient and effective delivery of services within the Stakeholder Relations and Policy, and Regulatory Affairs teams.

This includes monitoring deliverables and due dates across the team, receiving and managing responses to inquiries and reviews through inbox triage, supporting the preparation of responses to stakeholders, research, maintaining accurate records, designing & writing team reports, refining team processes and forums to optimize team efficiency and helping to draft correspondence to regulators and other stakeholders when needed.

This role is a key contributor to the successful delivery of strong regulatory, policy and stakeholder engagement for icare.

Duties

It’s an exciting time at icare where no two days are the same; as icare’s Stakeholder & Regulatory Specialist  you will:

  • Be a key enabler for icare’s Stakeholder Relations and Policy Team.
  • Act as a key point of contact for stakeholders and ensure timely resolution of escalated queries 
  • Monitor regulatory deliverables and due dates, and provide follow-up activities as needed.
  • Collate and distribute information, advice and escalate where necessary to the appropriate person for resolution or technical advice.
  • Prepare team reports for internal distribution, including undertaking research and collating of information where required.
  • Leverage technology to deliver optimally efficient and effective team processes.
  • Support the preparation of regulatory responses and notes through working with the business to ensure responses are appropriate and relevant for the regulator.
  • Manage and maintain accurate records and record information systems
  • Prepare and manage the timely provision of high quality urgent or sensitive documents
  • Support the Head of Regulatory Affairs, and General Manager of Stakeholder Relations and Policy by proactively managing files and background materials on matters of current regulatory significance.
  • Manage and contribute to the development and streamlining of guidelines and systems for handling correspondence and briefing services
  • Observe principles of diplomacy and confidentiality in relation to all material handled
  • Manage responses to inquiries and reviews through inbox triage, supporting the preparation of responses to stakeholders, research, and drafting correspondence to regulators and other stakeholders when needed.
  • Provide timely and flexible support to the Stakeholder Relations & Policy, and Regulatory Affairs teams with administrative tasks and other adhoc duties with little supervision across a variety of areas including monitoring & triaging the team mailbox, scheduling meetings, taking minutes and actions from meetings, tracking & ensuring follow up on team actions, deliverables and due dates, receiving inquiries and documenting key engagements.

Skills & Experience

  • This is a terrific entry level graduate role for someone wanting to build a career in government.  You might have an undergraduate degree in public policy, librarianship, economics, business or related subject.
  • Some understanding of the research associated with legislation and legal precedents.
  • High level of organisational skills and ability to manage time frames and due dates.
  • Document management skills and strong ability to use systems and applications.
  • Experience in providing administrative support is highly regarded.
  • Paralegal or legal secretariat experience preferred (but not essential).
