About the Role 

The Workplace Experience Officer provides a high standard of customer experience, supporting our people, visitors and guests with a broad range of business services and general office needs, across all icare corporate locations - we are based in Sydney’s CBD.

The Workplace Experience Officer undertakes operational and administrative workplace activities including but not limited to regional office services, Reception and Concierge services, mail room management, security and building access control, visitor registration, meeting room management and general office support.

Snapshot of your day

  • Workplace Concierge and Meeting Room Workshop Services
  • Security Access Management, including security passes and On/Off boarding.
  • Assisting Critical and Non-Critical staff and Guest Services support
  • Maintain Workplace, kitchen area and general office supplies.
  • Assisting with administration with Workplace and Facilities duties as directed.
  • Create, assign, and review work orders, purchase request generations & invoice receipting
  • Travel, Audit, ServiceNow, CRM processing and Roster support

Duties 

It’s an exciting time at icare where no two days are the same; in this role, you will: 

  • Provide a range of administrative and office support services including filing and records management, b receipt and sorting, external courier bookings and deliveries, maintenance of registers, photocopying, compilation of data, statistics and reports to support the smooth running of the office activities.
  • Meet, greet and assist a range of stakeholders including icare employees, contractors, guests/visitors and customers and maintain a high standard of presentation, consistently and a high level of customer service.
  • Coordinate and deliver the management of multiple meeting rooms including technology operation, supporting events and organisation of catering.
  • Respond to enquiries by phone, email or in person, ensuring an accurate, customer-focused and timely response, escalating to the appropriate person as required.
  • Coordinate the resolution of workplace experience issues ensuring compliance with all relevant policies, procedures and guidelines including maintaining and monitoring security access passes, visitor registration, alarm systems and databases.
  • Coordinate and manage internal and external access to the main offices and provide security and safety instructions, induction and direction to visitors, contractors and service providers.

Skills & Experience  

  • Proven experience in a customer service environment ideally having worked in corporate reception, shared serviced offices, facility or a concierge environment would be advantage.
  • A range of experience in providing office support services in a busy office environment.
  • Capacity to complete manual tasks and spend prolonged periods of time standing and walking
  • Strong written and verbal communication and stakeholder management skills.
  • Proficiency in Microsoft Office Suite including Teams.
  • Excellent administrative, planning and coordination capabilities.
  • Self-driven, adaptable team player who enjoys working in a fast-paced environment.
  • A valid NSW Driver’s License and the willingness to drive/travel between office locations.
