The opportunity:

Provides executive support that enables effective operations and the smooth running of the Lifetime Schemes function. Working with the Group Executive and the Lifetime Schemes leadership team you will be integral to the success of business operations and service delivery across the service line.

 

It’s an exciting time at icare where no two days are the same; as an Executive Assistant you will:

  • Provide executive level and administrative support including, but not limited to, diary and email management and prioritisation, meeting coordination and logistics, minute taking, file maintenance, photocopying and filing, monitoring budgets, reconciling and submitting Purchasing Card expenses, team events, travel arrangements, catering and conferences.
  • Facilitate and screen the efficient flow of information to and from the Group Executive by exercising discretion, initiative and confidentiality to enable highly sensitive matters to be dealt with appropriately.
  • Manage communications for the Group Executive including the distribution of documents, updates to social media channels and coordination of town halls.
  • Build and maintain working relationships with the team, Facilities, Business Technology, Executive Assistant Network and other business areas as required to ensure the successful administration of meetings.
  • Coordinate and create meeting books and loading of papers to the required electronic software.
  • Undertake and coordinate projects as delegated by the Group Executive to ensure planned outcomes are achieved.

Your story so far:

  • Extensive experience in providing executive assistance to a Senior Executive in a corporate environment
  • Successful completion of relevant tertiary qualifications in administration or equivalent skills acquired through practical experience – highly regarded
  • Strong organisational, prioritisation, and time management skills
  • Excellent stakeholder engagement and management – internal and external
  • Take initiative, forward plan and adaptive
  • Comfortable travelling between icare offices if required
  • A passion for people and building strong networks
